Step-by-Step Guide: Setting Up an Auto Outreach Campaign | Agency Mode

Step 1: Navigate to Perfect's Outreach Dashboard

Step 2: Click "Connect email".

Step 3: Choose Google or Microsoft based on your Email

Step 4: Verify Connection: Confirm successful email connection by seeing the Welcome to Outreach page.

Step 5: Choose Tone of Voice.

Step 6: If you are an agency, toggle on Agency Mode.

Step 7: Enter your agency's name.

Step 8: Enter the name and a brief description of your agency.

Step 9: Enter the hiring company’s name.

Step 10: Enter brief description of the hiring company.

💡 Tip: To maximize time efficiency make sure to use the purple Auto Fill option: if you’ve uploaded a job description when opening the position, the purple “Auto Fill” button will be available to you within the Company Description box on the top left.

Step 11: If you’re keeping the hiring company confidential, tick the "Confidential" box.

Step 12: Enter the role title. Notice that unlike the title you entered when opening the position thats used as a search parameter, the candidates will see this title in the campaign.

Step 13: Add a short description about the role. If not available, copy and paste the role description from your internal job description.

💡 Tip: Exclude the requirements; focus on describing the role itself.

Step 14: Specify the preferred location for the role.

Step 15: Highlight social and professional perks of the job to grab candidates attention.

Step 16: If tracking is necessary, toggle on this feature.

💡 Tip: Disabling tracking reduces the chance of emails ending up in spam.

Step 17: Leave all personalization features toggled on (Smart Message Spices).

Step 18: Click "Save".

💡 Tip: Notice that this does not start the campaign—it simply signals the system you’re ready to proceed later.

Step 19: Click on "Campaigns".

Step 20: Click on “Auto” to select a fully automated campaign.

Step 21: Choose primary sender.

💡 Tip: Best practice is to select Hiring Manager.

Step 22: Leave “When to Send” and “Number of Follow-Ups” on Auto for optimal performance.

💡 Tip: To fully utilize your pipeline, make sure the "Auto Archive emailess candidates" is toggled off. Best practices are pre-implemented to maximize engagement:

  • If on a tight deadline, you can toggle on Faster Follow-Ups to accelerate campaign steps.

  • If no deadline exists, keep this feature inactive to allow the system to operate as designed.

Step 23: Click "Save".
