In this article, we'll cover how SendGuard works:

Daily and Hourly Limits

To ensure your emails are sent smoothly and not flagged as spam, SendGuard enforces the following limits:

  • Daily Limit: Up to 250 emails per day.

  • Hourly Limit: Up to 25 emails per hour.

These limits are automatically enforced by the system. If you need to change these limits, please contact your account admin or support.

Warm-Up Period for New Users

When you first start using Perfect Outreach, your email sending limits will gradually increase over a few weeks. This gradual increase helps build your sender reputation and ensures better deliverability.

Batch Scheduling

To avoid sending too many emails at once and to mimic natural sending patterns, SendGuard:

  • Spreads email sends evenly throughout the hour.

  • Uses random delays within each hour.

  • Ensures a minimal gap of at least 1-2 minutes between each email.

Domain Sending Limit

To prevent overloading a single domain, SendGuard limits the number of emails sent to one domain:

  • Limit: 1,250 emails per day per domain.

Why Use SendGuard?

Using SendGuard helps you:

  • Avoid being blocked by your email provider.

  • Reduce the risk of emails being marked as spam.

  • Maintain a positive sender reputation with email providers.

Sending More Emails Beyond SendGuard Limits

If you need to send more outreach emails beyond the limits set by SendGuard, you can add additional email accounts. Since the SendGuard limits are per email account, adding more accounts will increase your overall sending capacity.

  • Add Additional Email Accounts: Each additional email account will have its own SendGuard limits, allowing you to send more emails across multiple accounts.

Please note that the domain sending limit will remain the same, so distribute your sending load across different domains if necessary.

Email Sending Limits by Provider

Understanding your email provider's limits can help you stay within safe sending boundaries:

  • Gmail Free: 500 emails per day, 20 emails per hour

  • Gmail Workspace: 2,000 emails per day

  • Outlook Free: 300 emails per day

  • Outlook 365: 10,000 recipients per day

  • Yahoo Free: 500 emails per day, estimated 100 emails per hour

  • GoDaddy: 500 emails per day, 300 messages per hour

  • BlueHost: 3,600 emails per day, 150 messages per hour

  • ProtonMail Free: 150 emails per day

  • ProtonMail Plus: 1,000 emails per day

Speed Up Sending Without Hitting Limits

If youโ€™re seeing a message that sending is slower than usual, it means your outreach volume is currently higher than what your sending limits allow. Donโ€™t worry โ€” this is common and can be optimized!

Here are a few ways to help reduce your queue and speed things up:

๐Ÿ”„ Step 1: Connect More Email Accounts

Each connected account gets its own SendGuard limits. Adding more senders increases your total daily and hourly capacity.

๐Ÿ“… Step 2: Expand Your Send Window

Allow messages to be sent on more days โ€” including weekends โ€” or during a wider range of hours throughout the day.

โœ‚๏ธ Step 3: Reduce Follow-Ups Temporarily

Too many follow-up steps can quickly stack up the queue. Consider reducing the number of steps per campaign or increasing the time between each step.

โš™๏ธ Step 4: Spread Sends Across Domains (Advanced)

If youโ€™re approaching the domain limit (1,250/day), distributing your sending across different domains can help.
